Why businesses use a maintenance contract
Business systems run longer hours than home ones, in rooms full of people, screens, kitchens and stock. Filters and coils clog faster, drains block, and a unit that fails on a hot afternoon costs you trade or a day's work. Planned maintenance catches most of that before it happens.
A contract also takes the paperwork off your desk. If your system is large enough to need F-Gas leak checks, the business is legally responsible for them and for the records. We book the visits, do the checks and keep the log.
What a contract includes
Every contract is built around your site, but these are the parts most businesses need.
- A list of every indoor and outdoor unit on site, with its make, model, refrigerant and charge
- Planned services to the manufacturer's checklist, at an agreed frequency
- Filters, coils, fans and drains cleaned, and condensate pumps tested
- Refrigerant pressures, temperatures and electrical connections checked
- Legal F-Gas leak checks at the right interval for each system
- An up-to-date F-Gas record for every system that needs one
- A written report after each visit, with any faults and a price to fix them
- Priority booking for repairs between planned visits
- Visits planned around your opening or working hours
How often each type of site needs a visit
These are typical starting points. The survey sets the right frequency for your units and how hard they work.

LG asks for servicing twice a year to keep its warranty valid. Check your manufacturer's terms for the minimum.
F-Gas leak checks: what the law asks of businesses
Under the GB F-Gas Regulation, the operator of a system holding 5 tonnes CO2 equivalent of refrigerant or more must make sure it's leak checked by a certified engineer. The operator is whoever is in actual control of how the system runs, which for a business is usually the occupier. If you rent the building or the equipment, check your agreement.
5 tonnes CO2 equivalent is about 7.4 kg of R32 or 2.4 kg of R410A. Single wall units are usually below it. Multi-split, VRF and larger ducted or cassette systems can be above it.
- 5 to under 50 tonnes: a check at least every 12 months
- 50 to under 500 tonnes: at least every 6 months
- 500 tonnes or more: at least every 3 months, and automatic leak detection is compulsory
- Automatic leak detection doubles the interval for systems under 500 tonnes
- A repaired leak must be checked again within one month
- Records kept for at least five years, and shown to the Environment Agency if asked
TM44 inspections are separate
In England and Wales, if the air conditioning units you control in a building add up to more than 12 kW of cooling output, you need an energy inspection at least every five years. These are often called TM44 inspections. Each unit you control counts towards the total, and you must keep the latest report.
The inspection has to be done by an accredited energy assessor. We're not energy assessors, so a maintenance contract doesn't include it. We can give your assessor the system details they need, and carry out any work the report recommends.
How a contract starts
Site survey
We list every unit, read the labels, check access and look at the condition of the system and its records.
Written quote
You get a fixed yearly price plus VAT, the visit frequency for each unit and what's included.
First visit
A full service and, where needed, the first leak check. We start the F-Gas record for each system that needs one.
Report
You get a written report with photos of any faults and a price to fix them. Nothing is done without your agreement.
Planned visits
We book each visit ahead around your hours and remind you before we arrive.
Contract and replacement prices
Maintenance contracts are quoted after a site survey, plus VAT, because the price depends on the number of units, their type and how often they need a visit. If a unit is beyond economic repair, these are our starting prices for a new one.

Small sites with one or two units
A full contract isn't always needed. If your shop or office has one or two wall units, one of our maintenance plans may suit you better. They cover servicing, the records your warranty asks for and priority booking, for a set yearly price.
Commercial maintenance questions
How much does a commercial air conditioning maintenance contract cost?
It depends on the number and type of units, how often they need servicing and whether they need F-Gas leak checks. We survey the site and give you a fixed yearly price plus VAT. Repairs are priced separately, always in writing first.
Do you maintain systems you didn't install?
Yes. We maintain Daikin, Mitsubishi Electric, LG and Panasonic systems and most other brands, whoever fitted them. The first visit is a full service, so we know the condition of every unit.
Is my business legally required to have air conditioning maintenance?
Servicing isn't a legal duty in itself, but F-Gas leak checks are for any system holding 5 tonnes CO2 equivalent or more, with records kept for five years. Many manufacturers also make regular servicing a condition of the warranty.
Does a maintenance contract include TM44 inspections?
No. A TM44 inspection must be done by an accredited energy assessor, and we're installers and engineers, not assessors. We can give your assessor the details of every unit and carry out the work their report recommends.
Can you service our restaurant or shop outside opening hours?
We plan visits around your trading hours, so units are serviced when they cause the least disruption. Tell us your hours at the survey and we'll agree a plan.
Do we get priority for repairs?
Yes. Contract customers are offered our earliest repair slots before other bookings. We don't offer same-day or emergency call-outs, and every repair is priced in writing before work starts.
