1. Who we are
Westbridge Air is a trading name of IN Global Ltd. IN Global Ltd is the controller of your personal information, which means we decide how and why it is used.

2. What we collect
We only collect what we need to answer your enquiry, do the job and meet our legal duties.
- Enquiry details: your name, phone number, email address and postcode, the answers you give in our quote form (such as the property type, number of rooms, unit type, timing or fault) and any survey or visit time you pick.
- Your address, when we arrange a survey, installation, service or repair visit.
- Photos and videos you send us, for example of a room, a wall, your fuse board or an error code.
- WhatsApp messages, call details and emails you send us, and our replies.
- Job records: quotes, invoices, payments, the equipment we fitted or worked on, service records and warranty registrations.
- F-Gas records: the refrigerant in your system and the work we did on it, which the law requires us to keep.
- Basic technical information when you visit our website, such as your IP address and browser type, which our hosting provider records to keep the site secure and working.
3. Why we use it and our lawful bases
UK data protection law says we must have a lawful basis for using your information. These are the ones we rely on:
- Contract, or steps before a contract: to reply to your enquiry, arrange a survey, prepare a quote, carry out the work, provide our guarantee, register your manufacturer warranty and run any maintenance plan you join.
- Legal obligation: to keep F-Gas records, tax and accounting records, and to meet our duties under consumer law.
- Legitimate interests: to follow up an enquiry you've made, remind you when a service is due, ask for a review after a job, deal with complaints or claims, and keep our website and systems secure. We only do this where it doesn't override your rights and interests.
4. How we contact you
We contact you about your enquiry, your job, your service reminders and, after a job, to ask whether you'd like to leave a review. You can ask us to stop the reminders or review requests at any time.
We don't send you other marketing. If we ever want to, we'll ask for your permission first.
5. Who we share it with
We only share your information where we need to, and only what's needed for the purpose.
- Manufacturers (Daikin, Mitsubishi Electric, LG or Panasonic), to register your warranty and handle warranty claims.
- Our website hosting, security and email providers, including Cloudflare, which protects and delivers our website. They store and send information for us under contract and can't use it for their own purposes.
- postcodes.io, a free public postcode lookup run by Ideal Postcodes. When you check your postcode on our website, your browser sends the postcode to postcodes.io, along with the technical details every web request carries, such as your IP address, so we can tell you whether we cover your area. No other details from the form are sent.
- Our accountants, for bookkeeping, tax and our annual accounts.
- Public bodies, regulators or the police, but only where the law requires us to.
6. We don't sell your data
We never sell, rent or trade your personal information, and we don't pass it to anyone for their own marketing.
7. Information stored outside the UK
Some of our service providers may store or process information outside the UK. Where that happens, we only use providers in countries the UK recognises as having adequate protection, or with safeguards that UK data protection law requires, such as the UK's approved data transfer agreements.
8. How long we keep it
We keep your information only for as long as we need it, then delete it securely.
- Enquiries that don't go ahead: 12 months from our last contact with you.
- Customer and job records, including quotes, invoices and guarantee details: 6 years after the job is finished.
- F-Gas records: at least 5 years, as the F-Gas rules require.
9. Your rights
You have the following rights over your personal information. To use any of them, contact us through our contact page. We'll reply within one month, and there's normally no charge.
- Access: ask for a copy of the information we hold about you.
- Correction: ask us to correct information that is wrong or incomplete.
- Deletion: ask us to delete your information. We may need to keep some records, such as F-Gas and tax records, where the law requires it.
- Objection: object to us using your information on the basis of legitimate interests.
- Restriction: ask us to pause using your information while a concern is looked into.
- Portability: ask for information you gave us in a format you can pass to someone else.
10. Complaints
If you're unhappy with how we've handled your information, please tell us first so we can try to put it right.
You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk.
11. No automated decisions
We don't make decisions about you using automated processes or profiling. A person reads every enquiry and every decision about your job is made by a person.
12. Keeping your information secure
Our website uses an encrypted connection, our systems are password protected, and only the people who need your information can see it. No system is completely secure, but we take reasonable steps to protect your information and will act quickly if something goes wrong.

We'll update this notice if the way we use your information changes. The date on this page shows when it was last updated.
